Microsoft 365 Cancellation Survival: How to Move to Perpetual Office

Microsoft 365 will keep your apps working for a short window after cancellation, then move everything to read-only mode. Your OneDrive files become inaccessible after 30 days if you’re above the free 5GB tier. Your email history stays in Outlook — but only if you’ve exported it first. Do these things in the right order and the transition is clean. Skip them and you lose access to things you’ll want.

The replacement licence
Office Home & Business 2024 — instant UK delivery
Available for PC and Mac. Activates via setup.microsoft.com — the quickest route off Microsoft 365. Uninstall 365 first, then install. The whole process takes under 30 minutes.

What stops working and when

The most important thing to understand before touching anything is the cancellation timeline. Microsoft doesn’t cut you off instantly — but the grace periods are shorter than most people expect.

When Apps (Word, Excel etc) OneDrive files Email (Exchange/M365)
You cancel Still working — runs until billing period ends Full access Full access
Billing period ends Read-only mode — view and print only, no editing 30-day grace starts Access continues during grace period
30 days after billing ends No access without reinstalling perpetual Office Above 5GB inaccessible — not deleted, but locked until you resubscribe or download M365 mailbox inaccessible — IMAP/domain email unaffected
180 days after billing ends — Files above 5GB permanently deleted by Microsoft —
The 180-day deletion window

Microsoft permanently deletes OneDrive data above the free 5GB tier 180 days after your subscription expires. This is not reversible. If you have important files stored only in OneDrive and you miss this window, they are gone. Do not leave your OneDrive migration until the last minute.

Step 1 — buy your perpetual licence before cancelling

Do this first, before you touch the 365 cancellation. The reason is simple: you want to install and confirm perpetual Office is working while you still have an active 365 account and a clean Microsoft account session. A brief overlap period — a day or two — eliminates any risk of being without working Office apps.

Which licence to buy

This guide covers Office Home & Business 2024 — available for both PC and Mac. It activates via setup.microsoft.com using your Microsoft account, which is the quickest and most familiar route for anyone coming off a Microsoft 365 consumer subscription. No deployment tools, no command line — just a standard installer.

Your situation Buy this Why
PC user — switching from M365 Office H&B 2024 PC — £119 Word, Excel, PowerPoint, Outlook, OneNote. Activates via setup.microsoft.com. Quickest install route.
Mac user — switching from M365 Office H&B 2024 Mac — £119 The only perpetual suite for macOS. Apple Silicon native. Same activation route.
Not sure which version fits your setup Use the Office Licence Advisor Four questions, routes you to the right product — including if you need Access or have other requirements.
Need Access or other advanced apps?

Office Home & Business 2024 does not include Microsoft Access. If you need Access for database work, the Office Licence Advisor will route you to the right edition. The activation process for other perpetual editions differs — this guide covers the H&B route only.

Step 2 — secure your OneDrive files

Before cancelling, make sure everything in OneDrive that you need is available locally on your machine. There are two approaches depending on how you’ve been using OneDrive.

If you use OneDrive desktop sync (the most common setup)

Your files are already mirrored on your PC — but you need to confirm that sync is complete and that no files are cloud-only. Look at the OneDrive icon in the system tray. A cloud icon on any file or folder means it’s online-only and not yet downloaded to your machine.

  1. Check the OneDrive sync status
Click the OneDrive icon in the taskbar system tray. It should show “Up to date.” If it shows pending syncs or errors, resolve those first.
  2. Make online-only files available offline
In File Explorer, right-click any folder showing a cloud icon and select Always keep on this device. Do this for every folder you want to keep. Wait for the sync to complete — the cloud icon will change to a green tick.
  3. Verify the local copies exist
Navigate to your OneDrive folder in File Explorer. Every file should show a green tick (synced locally). No cloud icons should remain for files you care about.
    Default location: C:\Users\[YourName]\OneDrive

If you work directly in the browser (onedrive.live.com)

Download your files before cancelling. Go to onedrive.live.com, select the folders you need, and use the Download option to save them as a zip file to your local drive. Do this for each folder — there is no single “download everything” button for large accounts, so work through it folder by folder.

SharePoint and Teams files are separate

Files stored in Teams channels or SharePoint sites are not in your personal OneDrive. They live in your organisation’s SharePoint. If you’ve been saving work to Teams channels rather than your personal OneDrive, you need to download those separately from your SharePoint site before your 365 access expires. Go to the SharePoint document library, select the files, and download them.

Step 3 — export your Outlook email and calendar

This is the step most people skip and then regret. Perpetual Outlook connects to all the same email accounts as M365 Outlook — your Gmail, your domain email, your personal Microsoft account — and those accounts sync normally. What doesn’t transfer automatically is your email history if it only exists in an Exchange or Microsoft 365 mailbox.

If you use a standard IMAP email account (Gmail, domain email via IMAP), your mail is stored on the mail server — connecting the same account in perpetual Outlook will pull everything down automatically. You only need to export if your email is stored in a Microsoft 365 Exchange mailbox.

Export a PST file (Exchange / M365 mailbox)

  1. Open Outlook → File → Open & Export → Import/Export
This opens the Import and Export Wizard. Select Export to a file and click Next.
  2. Choose Outlook Data File (.pst)
Select this option and click Next. This creates a portable file containing your selected email data.
  3. Select the folders to export
Select your inbox at the top level — this includes all subfolders. Tick Include subfolders. Click Next.
  4. Save to a local drive location
Choose a local drive location — not OneDrive — and give the file a clear name. Click Finish. For large mailboxes this can take several minutes.
    Save to: C:\Users\[YourName]\Documents\OutlookBackup.pst

Export calendar and contacts

Use the same Import/Export route to export your Calendar and Contacts folders as separate PST files if you want a backup. In practice, if you connect perpetual Outlook to the same Microsoft account, your calendar and contacts sync back automatically — but having a local export costs nothing and removes uncertainty.

Importing the PST into perpetual Outlook

Once perpetual Outlook is installed and your email account is connected: File → Open & Export → Import/Export → Import from another program or file → Outlook Data File (.pst). Select your saved PST and import. Your historical email appears in Outlook alongside any new mail from your live account.

Step 4 — uninstall Microsoft 365, then install Office H&B 2024

This is the most important sequence to get right. You must uninstall Microsoft 365 before installing Office Home & Business 2024 — not after. If you install perpetual Office while 365 is still present, the machine can revert to activating against the 365 licence rather than your new perpetual key. Uninstall first, then install clean.

Do this before buying if possible

Complete Steps 2 and 3 (OneDrive files and Outlook PST export) before uninstalling 365 — you need working Office apps to export the PST. Once you uninstall 365, you’ll be without Office until the perpetual install completes. The window is short — 20 minutes typically — but plan accordingly.

Uninstall Microsoft 365

  1. Settings → Apps → Installed apps
Search for “Microsoft 365” or “Microsoft Office.” Select the entry and click Uninstall. On Mac: open Finder → Applications, drag Microsoft Word (or any Office app) to Trash, then run Microsoft’s removal tool from support.microsoft.com to clean up all components.
  2. Run the Microsoft Support and Recovery Assistant (Windows)
For a thorough removal on Windows, Microsoft’s free Support and Recovery Assistant (aka SaRA) removes all Office components cleanly — including registry entries that can cause perpetual Office to revert to 365 activation. Download from aka.ms/SaRA-OfficeUninstall. Run it, select “Uninstall Office,” follow the prompts.
    Recommended — prevents activation conflicts
  3. Restart the machine
Always restart after uninstalling Office before installing a new version. This clears any residual processes and ensures the installer starts with a clean slate.

Install Office Home & Business 2024

  1. Go to setup.microsoft.com and sign in
Use the Microsoft account you’ll continue using for Outlook and OneDrive. Enter your 25-character product key when prompted. The licence is now permanently attached to this account.
  2. Download and run the installer
The portal detects your platform and provides the correct installer. Run the downloaded file — Office downloads and installs in the background. Allow 15–20 minutes on a standard broadband connection.
The installer file is small — the full Office download happens during setup
  3. Sign in when Office opens
Open Word or Excel. You’ll be prompted to sign in. Use the same Microsoft account used at setup.microsoft.com. Office activates automatically against your redeemed perpetual key.
  4. Confirm activation
File → Account → Product Information should show Product Activated. Open a document, make an edit, save it. If everything works, you’re ready to cancel 365.

Step 5 — cancel Microsoft 365

With perpetual Office installed and confirmed working, your files secured locally, and your email exported, you’re ready to cancel.

  1. Go to account.microsoft.com
Sign in with the Microsoft account your 365 subscription is billed to.
  2. Services & Subscriptions → find your plan → Manage
Click Cancel subscription. Follow the cancellation flow — Microsoft will present retention offers. Decline them and confirm.
  3. Note the billing period end date
Microsoft shows you the date access continues until. Make a note — this is when apps move to read-only mode and the 30-day OneDrive grace period starts.
Timing your cancellation

Microsoft does not refund the remaining days on annual plans unless you cancel within 30 days of the initial purchase or renewal. If your renewal is coming up soon, cancelling just before the renewal date avoids paying for another year you won’t use. Check your renewal date in Services & Subscriptions before deciding when to cancel.

Step 6 — after cancellation: finish the migration

  1. Import your PST into perpetual Outlook
If you exported a PST in Step 3, import it now: File → Open & Export → Import/Export → Import from another program or file → Outlook Data File (.pst). Select your file. Your email history appears alongside new mail from your live account.
  2. Verify your files are accessible
Open several files from the OneDrive folder you secured locally. Confirm they open in the perpetual Office apps without any licensing or access warnings.
  3. Decide on cloud storage going forward
OneDrive drops to 5GB free once the grace period ends. If you want continued cloud backup, set up a standalone OneDrive plan, use an alternative like Google Drive or Dropbox, or rely on local backup. The 5GB free tier is adequate for documents if your files aren’t large.

What you’ll genuinely lose — honest account

Perpetual Office replaces everything most people use 365 for day to day. A handful of things don’t have direct equivalents — worth being clear about before you cancel.

Real-time co-authoring
Multiple people editing the same document simultaneously is a 365 cloud feature. Perpetual Office doesn’t support live co-editing. If your team relies on this daily, weigh it seriously before switching.
1 TB OneDrive storage
The bundled storage disappears. You keep 5GB free. A standalone 100 GB OneDrive plan is available separately if you need cloud backup — still considerably cheaper than a 365 subscription annually.
Microsoft Copilot AI
Copilot in Word, Excel, and PowerPoint is exclusive to Microsoft 365. There’s no perpetual equivalent. If AI-assisted writing or data analysis is central to your workflow, this is a meaningful trade-off.
Multi-device access
A perpetual licence covers one machine. If you regularly switch between a work laptop and home PC, you’ll need a second licence or accept working from one device.
Teams integration
Teams is not included in perpetual Office — it’s available as a free standalone download, which covers most use cases. The 365-native integration (meeting recordings in SharePoint, etc.) won’t be there.
Continuous feature updates
Perpetual Office is fixed at the 2024 feature set. New capabilities that roll out to 365 subscribers over the next few years won’t come to your install. Security patches continue until October 2029 regardless.

For most people doing standard document, spreadsheet, email, and presentation work, none of the above matters day to day. The Office 2024 vs Microsoft 365 comparison covers the full trade-off if you want to work through it in detail.

Common questions

Files stored locally on your PC are unaffected — they’re yours regardless of your subscription status. Files stored in OneDrive remain fully accessible during your billing period and for 30 days after expiry. After 30 days, anything above the 5GB free tier becomes inaccessible. After 180 days, Microsoft permanently deletes the excess data. Download everything you need to a local drive before cancelling to avoid any risk.

Yes, with the right preparation. If your email is IMAP-based (Gmail, domain email via IMAP), it lives on the mail server — connecting perpetual Outlook to the same account will pull everything down automatically. If your email is in a Microsoft 365 Exchange mailbox, export a PST file before cancelling using File → Open & Export → Import/Export in Outlook, then import it into perpetual Outlook after installation. Your email history will be available alongside new incoming mail.

No — not immediately. Your OneDrive files remain fully accessible until your billing period ends, then for a further 30 days after that. After 30 days, files above the 5GB free tier become inaccessible. After 180 days, Microsoft permanently deletes them. You have time to download everything — but don’t leave it until the last minute. Use OneDrive desktop sync to mirror files locally, or download them directly from onedrive.live.com before cancelling.

For most PC users, Office Professional Plus 2024 is the best replacement — it includes Word, Excel, PowerPoint, Outlook, Access, and OneNote at a lower price than Office Home & Business 2024. For Mac users, Office Home & Business 2024 for Mac is the only perpetual suite option. If you’re unsure, the Office Licence Advisor walks you through four questions and routes you to the right product for your setup.

Yes — uninstall first, then install. If Microsoft 365 is still present when you install Office Home & Business 2024, the machine can revert to activating against the 365 licence rather than your new perpetual key. The correct sequence is: export your PST and secure your OneDrive files while 365 still works, then uninstall 365 (using Microsoft’s SaRA tool for a clean removal on Windows), restart the machine, then install Office H&B 2024 via setup.microsoft.com. This avoids any activation conflict and ensures your perpetual licence activates cleanly.

Files stored in Teams channels and SharePoint sites are not in your personal OneDrive — they live in your organisation’s or tenant’s SharePoint. Access to these files depends on whether the SharePoint tenant itself remains active, not just your personal subscription. If you’re the sole subscriber cancelling a personal or small business plan, download any SharePoint files you need before cancelling. If you’re one user in a larger organisation, the SharePoint files may remain accessible through the organisation’s subscription.
